Record Keeping Software

 

The purpose of this information is not to promote one product over another, but to give you a place to compare the various software products available. In a brief survey, I discovered that most Awana clubs found one software option and began to use it, not comparing it to other products to see which one would best meet their need. While the products are similar in nature (they are all designed for Awana recordkeeping), we encourage you to evaluate various products and see what it the best for your club. Information displayed is from the software manufacturer and I want to thank all of them for their time in helping me compile this information. (The software is listed in no particular order)

How to evaluate which is right for your club

  • Look at why you want a database
  • Decide what you want the database to do – what functionality and features are you seeking
  • Who will use it? Just one secretary, multiple directors, or small group leaders, etc
  • Do you want it to be cloud based (online), or local on a computer
  • User interface – depending on who is using it, do you want a simple interface, or a more complex one?
  • How easy is it to set-up and train others to use?
  • What can your budget afford?

Choosing the right solution

  • Once you have narrowed your possible selections, download, or request a demo version to see how the software works in your situation
  • Try it on all devices that might use the product: laptop, tablet, smartphone, etc.
  • Show other people to see how easy it is to learn how to use.
  • Ask the developer any questions you may have about their product

General Notes

  • If you are looking at an internet option and plan to use the software during club night, then check the internet (WiFi) availability in your church to make sure that you can access the online database
  • Databases can be tedious to set up, and at times to maintain, but once established, it can make record keeping much easier and less stressful

The Awana RecordKeeping software (ARK) is a program originally designed for use in the author’s home church. Since 2004 the program has been enhanced almost exclusively by users voting on what enhancements are most important. ARK now includes an online version with parent registration in conjunction with a native smart phone application for Android and iPhone..

This is a web based application. It has a very nice looking interface and you can do online registrations, track attendance and progress and all the things to help track records for your club. This has been in use since 2010 and would be an asset to your ministry.

 


Shine is an easy-to-use, web-based solution to simplify your Awana record-keeping. It can track attendance, contact info, handbook progress, awards, and more! Shine can also scale to any screen size, so you can run it on any mobile device or computer with an internet connection.


ClubberDB offers many features and is in the mid-price range compared to other products. While designed for Awana record keeping, it can also be used for other ministries in the church.
